Referral program

Reward clients who send you new clients, with credit you set, spent at checkout.

Lumè can reward clients who send you new clients. You decide what a referral is worth; the reward is credit on the client's account, which they spend at checkout like any other balance.

Set it up under Organization → Referrals (owners and managers).

How it works

Every client has their own referral code, on their profile under Referrals, in the client portal and in the client app. A new client gives that code in one of three ways:

  • Booking online. When your program is on, the booking form asks for a referral code. If a client shares a link to your booking page with ?ref= and their code on the end, the code is filled in for their friend.
  • At the front desk. The new-client form asks for one, and so does the calendar. When you create a client while booking, enter the code with their details. When you book an existing client who hasn't been in yet, choose Add who referred them under their name.
  • Their profile. If a referral is mentioned in the chair, open the new client's Referrals tab and record it there.

A typed code shows whose it is (for example ✓ Referred by Sophia Lopez) before you save, so a mistyped code is caught while the client is at the desk.

When the referred client's first visit is paid for, the rewards are added. Booking alone doesn't pay anything, and a first purchase with no treatment in it (only a product or a gift card) waits for their first visit.

Sending a client their code

A client who asks for their code, or how to see their credit, can be sent it by text. On their profile, open Referrals and choose Text it to them. The text has a link to their account, their code, and a link friends can book with that fills the code in. You see the message, and the number it's going to, before it's sent, and you can change it.

They sign in to their account with their phone number, and a code is texted to them, so the link on its own signs nobody in. If their number is also on another client's record, Lumè asks you to send them an app invite by email instead.

In their account, a Refer a friend card shows their code, what a referral is worth at your spa, what their referrals have earned, and their credit. It never shows who they referred.

Who can be referred

A referral is for a new client, and it's recorded once:

  • Only before their first paid visit. After that, who referred them can't be added, changed or removed. A regular can't be "referred" later.
  • Not by themselves. A code from someone with the same phone number or email is refused, and so is a "new" client who shares a phone number or email with someone who has already been in.
  • Not back and forth. Someone can't be recorded as referred by a person they referred.
  • Only the first paid visit pays. One reward per referred client, ever.

At the desk, Lumè tells you why a code can't be used. The online booking form never does: it books the client either way, so it can't be used to find out who is a client of yours.

Setting what a referral is worth

On Organization → Referrals:

  • The client who referred them — the credit the existing client earns. For example, $25 toward their next service.
  • The new client — an optional welcome credit for the person who was referred.
  • Minimum first visit — the first visit's total has to reach this for the referral to count. 0 means any paid visit counts.
  • Rewards per client per year — a limit on how many referrals one client can be paid for in a year. 0 means no limit.

The summary at the top of the page says in one sentence what saving will do. Changing the amounts later never changes rewards already paid.

Spending the credit

The credit sits in the client's credit balance. At checkout, the invoice shows the balance and lets you apply some or all of it to the visit.

When a visit is undone

If the referred client's first visit is refunded or reopened, the reward is taken back. If it's paid again, the reward is added again. A referral is paid once per referred client.

Who referred whom

Each client's Referrals tab shows their code, who referred them, and everyone they've referred, with what each referral paid. A referral that hasn't paid yet has no amount beside it: that client hasn't had a paid visit.
