Client records
Find and add clients, and what lives on a client’s profile — history, notes, and more.
Every person your spa sees has one record in Lumè that pulls together their details, appointment history, signed forms, clinical notes, photos, and what they've purchased. Open Clients from the menu to get to the list.
Finding and adding clients
The search box at the top searches by name, email, or phone as you type, so a partial entry is enough. The list shows each client's name, contact details, status, and any tags you've applied.
To add someone, select + New client and enter their details. You can also create a client on the fly while booking — see Booking an appointment — so you're never forced to stop and set up a record first.
The client's profile
Open a client to see their full record. Their name, status, and a referral code sit in a band across the top, and the rest is organized into tabs. The ones you'll use most:
- Overview — the essentials: name, preferred name, contact details, and status.
- Profile — the fuller picture: address, emergency contact, photo consent, and medical-history flags.
- Appointments — everything upcoming and past, with each appointment's status.
- Notes — free-form chart notes. Anyone on the team can add to them, and every change is recorded, so the note history is reliable.
- Documents — the client's intake and consent forms, each showing whether it's still pending, completed, or voided. See How clients sign forms.
- Treatment records — signed clinical records for the client's visits. See Treatment records.
- Photos — clinical before-and-after photos. See Before-and-after photos.
The record also keeps tabs for what a client has bought and what they have left to use — Products, Memberships, Packages, Gift cards, and a Wallet that totals up the credits they can redeem at checkout.
Status and tags
A client's status (such as active, inactive, VIP, or archived) and any tags help you keep your list organized and power audiences in marketing. You can set both on the client's record.
A client record holds protected health information. Access follows each person's role, and views of sensitive details are logged — part of how Lumè stays HIPAA-compliant.
