Employees and roles
Add team members, set their role and job title, and control what they can do.
Your team lives under Staff → Employees. It's where you add people, set what they're allowed to do, and control who shows up as a bookable provider on the calendar.
Adding an employee
Select Add employee and enter their name and email, choose a job title and a role, and — if you have more than one location — assign them to the sites they work at. You can also set whether they're bookable (more on that below). When you save, Lumè creates the account with a temporary password for you to share so they can sign in and set their own.
You can search the roster by name or email, and toggle Show inactive to see people you've deactivated.
Roles: what each person can do
A person's role decides what they see and can change across the whole app:
- Owner — full access, including billing and payment-processing setup.
- Manager — day-to-day management: staff, schedules, reports, and marketing.
- Front desk — the calendar, clients, and checkout.
- Provider — their own schedule and the clients they treat.
- Bookkeeper — financial reporting.
- Marketing — the marketing tools.
You can change someone's role right from their row. A couple of guardrails keep the account safe: promoting someone to Owner is a deliberate, separate step rather than a casual dropdown change, and you can't deactivate your last active owner — promote someone else to owner first.
Bookable or not
The bookable toggle controls whether a person appears as a provider you can book appointments with. Turn it on for anyone who treats clients; leave it off for front-desk-only staff so they don't clutter the calendar's provider columns.
When someone leaves
Rather than delete a person — which would orphan their history — deactivate them. They drop off the active roster and the calendar but stay on past appointments, invoices, and records. You can reactivate them later if they return.
Adding, editing, and deactivating staff is limited to owners and managers.
