Managing an appointment

Confirm, check in, reschedule, cancel, mark a no-show, and take payment.

Click any appointment on the calendar to open its details. On a computer the details open in a popover next to the appointment; on a phone they slide up from the bottom. From here you handle everything that happens to a booking — from confirming it to checking the client out.

At the top you'll see the client (with a link to open their full profile in a new tab) and a summary of the service, its length, and price.

Moving an appointment through the day

An appointment has a status, and Lumè only shows the buttons for the moves that make sense from where it is now:

  • A new booking starts as booked. Confirm it when the client confirms.
  • When they arrive, mark them checked in.
  • After the treatment, mark it completed. (Taking payment also completes it — see below.)

If a client doesn't show, mark a no-show; if you check someone in by mistake, you can undo it back to confirmed. Once an appointment is completed, cancelled, or a no-show, it's settled and has no further moves.

Canceling

Select Cancel and choose a reason — Duplicate appointment, Client requested, Client rescheduled, Provider unavailable, or Other. Recording the reason keeps your cancellation and no-show reports meaningful instead of guesswork.

Rescheduling

To move an appointment to a new time:

  1. Open the appointment and select Reschedule appointment. The calendar drops into rescheduling mode and a banner appears across the top — "Rescheduling [client] · [service]" — with its length.
  2. The original block fades so you can see where it's coming from.
  3. Right-click the time slot where you want it to land. The appointment moves there and the calendar returns to normal.

Change your mind partway through? Use Cancel in the banner to leave rescheduling mode without moving anything.

Taking payment

If the appointment's invoice is still open, you'll see Take payment with the amount due. It opens the checkout screen in a new tab so you can ring the client up. Once an invoice is paid (or voided), that button becomes View invoice instead. The full checkout process is covered in Taking payment at checkout.

Forms and treatment records

The appointment details also surface any forms the client still needs to sign, with links to send or open them, and — if you use clinical templates — the option to sign a treatment record for the visit. See How clients sign forms and Treatment records.

Reviewing online bookings

Appointments your clients book themselves on your website arrive in the Online bookings tool in the calendar's right-hand rail, with a badge showing how many are waiting. Open it to review each one and approve it onto the schedule (or cancel it). Reviewing here means a self-booked appointment never quietly lands in the book without a person seeing it first.
